Covia Energy, a leading provider of proppant to the oil and gas industry with a differentiated footprint of low-cost, logistically advantaged mining and terminal assets serving all major U.S. shale basins, is seeking an Executive Administrative Assistant, based out of the company's corporate headquarters in The Woodlands, TX. Covia Energy is in the process of separating into a standalone company from Covia Corp., which will focus on industrial silica applications.

The Executive Administrative Assistant willsupport the Executive team by helping coordinate schedules, meetings, calendars, travel, group meetings, etc. The position will support the teams to assure the success of the Woodlands Office strategic goals, team dynamics and tactical day to day office support.

The Executive Administrative Assistant will be expected initially to be in-person at the Covia Energy Woodlands office full time.

The successful candidate will have the following Key Accountabilities:

  • Manage agendas / travel arrangements/appointments etc. for the executive team.
  • Meeting Coordination.
  • Manage phone calls and correspondence (e-mail, lettering, packages, etc.).
  • Develop and review departmental PowerPoints as assigned.
  • Develop and review departmental Excel Spreadsheets as assigned.
  • Ad-Hoc Projects as necessary.
  • Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate's voice mailbox when the associate is unavailable.
  • Greets and directs visitors to the company.
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
  • Maintain and update company directories.
  • Onboarding new employees.
  • Sort incoming mail for distribution.
  • Act as primary contact person for mail delivery service.
  • Monitor postage machine utilization & add postage as required.
  • Stock mailroom supplies.
  • Act as primary contact for facilities related matters.
  • Other duties as assigned.

The successful candidate will have the following Minimum Qualifications:

  • High school diploma or equivalent required
  • 3 to 5 years of general administrative or reception experience required
  • Knowledge of MS Word, Excel, and PowerPoint
  • Computer skills demonstrated through prior work experience
  • Preference given to prior experience working in ERP system
  • Preference given to candidates with AA or AS degree
  • Strong decision making and problem-solving skills
  • Excellent communication skills
  • Pleasant, professional manner
